Acceptance of Terms
These Terms of Service ("Terms") constitute a legally binding agreement between you ("User", "you", or "your") and RentWise ("we", "us", or "our") governing your access to and use of the RentWise property and rent management platform, including the mobile application, web application, and associated services.
By creating a RentWise account, logging in, or otherwise accessing or using our services, you confirm that:
- You have read, understood, and agree to be bound by these Terms.
- You are at least 18 years of age and have the legal capacity to enter into this agreement.
- If you are accepting these Terms on behalf of an organisation or company, you have the authority to bind that entity to these Terms.
- You agree to our Privacy Policy, which is incorporated into these Terms by reference.
If you do not agree to these Terms, you must not create an account or use the RentWise platform.
Service Description
RentWise is a comprehensive, multi-tenant Software-as-a-Service (SaaS) property and rental management platform. Our services include, but are not limited to:
Property Management
Add, organise, and manage parent properties across multiple types including residential, commercial, and mixed-use buildings.
Sub-Unit Management
Create and manage units within properties (apartments, rooms, offices, shops, parking spaces, studios, lofts, etc.).
Tenant Management
Comprehensive tenant profiles including personal details, identification, emergency contacts, sub-tenants, and tenancy notes.
Contract Management
Create, manage, and track lease contracts with full terms — rent, payment frequency, late fees, renewal options, maintenance terms, and PDF generation.
Payment Plans
Structured payment schedules with installment-by-installment tracking, grace periods, late fee calculations, and waiver management.
Transaction Tracking
Record and track all rent payments and financial transactions with approval workflows, payment references, and PDF receipt generation.
Analytics & Dashboards
Revenue turnover graphs, transaction distribution charts, and portfolio performance analytics.
Reports
Financial reports including transaction history, property-level reports, and tenant-level transaction reports.
Tenant Invitations
Invite tenants to the platform via email so they can access their own tenancy data, payment plans, and transaction history.
Role-Based Access
Multi-user, multi-organisation support with Admin, Property Manager, and Tenant roles, each with appropriate data access permissions.
We reserve the right to modify, enhance, or discontinue any feature or aspect of our services with reasonable notice to users.
Accounts & Access
Account Creation
To use RentWise, you must create an account by providing accurate, current, and complete information including your name, email address, and password. You may also sign in using Google Sign-In via Firebase Authentication.
Organisation Accounts
RentWise operates on an organisation-based model. Your account is associated with one or more organisations. All property, tenant, contract, and financial data is scoped to an organisation. You may belong to multiple organisations and switch between them within the platform.
Account Security
- You are responsible for maintaining the confidentiality of your login credentials (email and password).
- You must not share your account credentials with any other person.
- You are responsible for all activities that occur under your account.
- You must notify us immediately at support@rentwiseglobal.com if you suspect any unauthorised access to your account.
- RentWise implements automatic session expiry and token-based authentication for your security. You may be required to re-authenticate after periods of inactivity.
Email Verification
After creating an account, you may be required to verify your email address. Unverified accounts may have restricted access to platform features. Tenant accounts are created via email invitation and linked to tenants by their email address within the organisation.
User Roles & Permissions
RentWise enforces role-based access control. Every user in an organisation is assigned a role that determines what they can see and do within the platform:
Admin
Full platform access within the organisation. Can manage all properties, units, tenants, contracts, payment plans, transactions, analytics, reports, and user/team management. Responsible for overall platform configuration and data integrity within the organisation.
Property Manager
Can manage properties, sub-units, tenants, contracts, payment plans, and transactions within the organisation scope. Cannot perform organisation-level administrative tasks or user management.
Tenant (User Role)
Access is strictly limited to their own tenancy data — their profile, their contracts, their payment plans, their installments, their transactions, and their financial reports. Cannot view other tenants' data, other properties, or administrative features.
Role Responsibilities
Admins are responsible for correctly assigning roles to team members. Granting inappropriate roles or permissions is a violation of these Terms. RentWise is not liable for data exposure caused by incorrect role assignments by Admins.
Acceptable Use Policy
You agree to use RentWise only for lawful purposes and in accordance with these Terms. You must not:
- Use the platform to store, transmit, or display any content that is illegal, fraudulent, defamatory, or otherwise objectionable.
- Enter false, misleading, or inaccurate property, tenant, or financial data into the platform.
- Attempt to access accounts, data, or systems that you are not authorised to access.
- Circumvent, disable, or otherwise interfere with the platform's security features, role-based access controls, or authentication mechanisms.
- Use automated scripts, bots, scrapers, or other automated tools to access or extract data from the platform without written permission.
- Transmit malware, viruses, or any other harmful code through the platform.
- Use the platform in any way that violates applicable data protection, privacy, or tenancy laws in your jurisdiction.
- Engage in any activity that disrupts or interferes with the platform's performance, availability, or integrity.
- Resell, sublicense, or provide access to the platform to third parties without our written consent.
- Use the platform to process data for any purpose other than legitimate property and rental management.
Violation of this Acceptable Use Policy may result in immediate suspension or termination of your account without notice or refund.
Property & Unit Management
When you add properties and sub-units to RentWise, you represent and warrant that:
- You are the owner of or have the legal authority to manage the properties you add to the platform.
- The property information you provide (addresses, types, details) is accurate to the best of your knowledge.
- You will maintain accurate tenancy status records (Available, Occupied, Under Maintenance, Reserved, Vacant, Inactive) for each property and unit.
- Any images or media files you upload belong to you or you have the right to use them on the platform.
- You will not use the platform to manage properties or conduct rental activities that are illegal under applicable laws.
RentWise provides tools to track property and unit data but does not independently verify property ownership or legal standing. You are solely responsible for compliance with all applicable property laws, landlord-tenant regulations, and local ordinances.
Tenant Management & Data
Adding & Inviting Tenants
When you add tenant profiles or invite tenants to the RentWise platform, you are responsible for:
- Obtaining any necessary consents from tenants before entering their personal data (name, contact details, identification, emergency contacts) into the platform.
- Ensuring the accuracy of tenant information you enter on their behalf.
- Informing tenants that their data is being managed on RentWise and providing them with appropriate privacy information.
- Complying with applicable data protection and tenancy laws when collecting, storing, and processing tenant personal data.
Tenant Identification Data
RentWise allows you to store tenant identification details (ID type, ID number, expiry date) and disability/accessibility requirements. This sensitive data must be handled with appropriate care. You may only store identification data that you are legally permitted to collect and process under applicable tenancy and data protection laws in your jurisdiction.
Tenant Invitations
When you invite a tenant via email, an invitation link is sent to their email address allowing them to create a RentWise account. Once registered, the tenant user can view their own tenancy data (contracts, payment plans, transaction history) but has no access to other tenants or property management features. You are responsible for ensuring you invite the correct email address belonging to the actual tenant.
Contracts & Lease Management
RentWise provides tools to create, manage, and track rental contracts and their terms. However, the following important limitations apply:
Legal Disclaimer: RentWise is a management and record-keeping tool, not a legal service provider. Contract PDFs generated by RentWise are provided as organisational records. The legal enforceability of any lease agreement is determined solely by applicable laws in your jurisdiction. We strongly recommend consulting a qualified legal professional for binding lease agreements.
- You are responsible for ensuring that all contract terms (rent amounts, payment frequency, notice periods, late fee policies, rules, maintenance responsibilities) comply with applicable tenancy legislation.
- Contract termination workflows, renewal processes, and associated notices must comply with local landlord-tenant laws. RentWise tracks these actions but does not verify their legal compliance.
- Late fee policies (rate, type, grace period) you configure must comply with applicable regulations limiting late fees in your jurisdiction.
- RentWise supports both Parent Property contracts and Sub-Unit contracts. You are responsible for linking contracts to the correct properties, units, and tenants.
Payment Plans & Transaction Tracking
Payment Plans & Installments
RentWise allows you to create structured payment plans with installment schedules linked to contracts. The platform tracks installment status (paid, pending, overdue), calculates late fees based on configured policies, records waived-off amounts, and sends payment notifications. You acknowledge that:
- You are responsible for the accuracy of all payment plan amounts, due dates, and installment configurations.
- RentWise calculates late fees based on the policy you configure. You are responsible for ensuring these calculations comply with applicable laws.
- Waived-off amounts and payment records stored in RentWise represent your records — they do not have independent legal standing unless supported by proper legal documentation.
Transaction Recording
RentWise is a transaction record-keeping tool. The platform allows you to record rent payments, deposits, and other financial transactions with payment method, reference numbers, and supporting documents. You acknowledge that:
- RentWise does not process actual financial payments — it records transactions you have already received through external channels (bank transfer, cash, card, cheque, etc.).
- Transaction records you enter must accurately reflect actual payments received.
- RentWise provides a transaction approval workflow. Admin users are responsible for reviewing and approving transactions where applicable.
- PDF transaction receipts generated by RentWise are organisational records. Their legal weight is determined by applicable accounting and tenancy laws in your jurisdiction.
Analytics & Reports
Financial reports, dashboards, and analytics generated by RentWise are derived from data you enter into the platform. The accuracy of all reports depends entirely on the accuracy of the data you have recorded. RentWise does not guarantee that platform-generated reports will satisfy specific regulatory, accounting, or tax reporting requirements without independent verification.
Data Ownership & Intellectual Property
Your Data
You retain full ownership of all data you enter into RentWise — including property data, tenant data, contract data, payment plans, and transaction records. RentWise does not claim ownership of your content. We process your data solely to provide and improve our services, as described in our Privacy Policy.
RentWise Intellectual Property
The RentWise platform, including its software, design, interface, branding, logos, and all proprietary features, are the intellectual property of RentWise. You are granted a limited, non-exclusive, non-transferable licence to use the platform for your legitimate property management purposes in accordance with these Terms. You may not copy, modify, distribute, sell, or create derivative works from the RentWise platform or its components.
Data Export
You may request an export of your organisation's data at any time by contacting support@rentwiseglobal.com. We will provide your data in a reasonably usable format within 30 days of a verified request.
Subscriptions & Billing
RentWise offers subscription plans. The following terms govern billing and subscriptions:
- Free Trial: Where offered, free trial periods provide full or partial access to the platform. No payment is required during the trial period.
- Subscription Plans: Paid plans are billed on a monthly or annual basis as selected. Pricing, features, and limits are as described on the pricing page and may be updated with prior notice.
- Payment: Subscription fees are due at the start of each billing period. Failure to pay may result in service suspension.
- Upgrades & Downgrades: You may change your plan at any time. Upgrades take effect immediately; downgrades take effect at the next billing cycle.
- Cancellation: You may cancel your subscription at any time. Access continues until the end of the current billing period. No refunds are issued for partial periods unless required by applicable consumer protection law.
- Price Changes: We may change subscription pricing with at least 30 days' advance notice. Continued use after a price change constitutes acceptance of the new pricing.
Account Termination & Suspension
Termination by You
You may close your account at any time by contacting support@rentwiseglobal.com. Upon account closure, we will retain your data for 90 days (to allow account recovery), after which it will be deleted subject to legal retention requirements.
Termination or Suspension by RentWise
We reserve the right to suspend or terminate your account with or without notice if:
- You violate these Terms of Service or our Acceptable Use Policy.
- You fail to pay applicable subscription fees.
- We reasonably believe your account has been compromised or is being used fraudulently.
- We are required to do so by law or a regulatory authority.
- Your use of the platform poses a risk to RentWise, our systems, or other users.
Data After Termination
Upon account termination or suspension, your access to the platform will be revoked. You should export any data you need before requesting account closure. We will retain data as described in our Privacy Policy retention schedules.
Disclaimers & Warranties
THE RENTWISE PLATFORM IS PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED.
To the fullest extent permitted by applicable law, RentWise disclaims all warranties, including but not limited to:
- Warranties of merchantability, fitness for a particular purpose, or non-infringement.
- Warranties that the platform will be uninterrupted, error-free, secure, or free of viruses.
- Warranties regarding the accuracy, completeness, or reliability of any content, data, or reports generated by the platform.
- Warranties that the platform will meet all your specific property management, legal, or regulatory requirements.
RentWise is a management tool and is not a substitute for professional legal, financial, tax, or property management advice. Always consult qualified professionals for matters requiring expert guidance.
Limitation of Liability
To the maximum extent permitted by applicable law, RentWise and its officers, directors, employees, agents, and partners shall not be liable for:
- Any indirect, incidental, special, consequential, or punitive damages.
- Loss of profits, revenue, data, business opportunities, or goodwill arising from your use of or inability to use the platform.
- Loss or corruption of data resulting from platform errors, outages, or unauthorised access despite our security measures.
- Damages arising from your reliance on platform-generated reports, analytics, or financial data without independent verification.
- Legal consequences arising from lease contracts, tenant disputes, or financial decisions made using the platform's records.
- Damages caused by incorrect role assignments or data sharing within your organisation by your Admin users.
In jurisdictions where limitations of liability are restricted, our liability is limited to the greatest extent permitted by law. In no event shall our total liability to you exceed the amount you paid to us in the 12 months preceding the claim.
Governing Law & Dispute Resolution
These Terms shall be governed by and construed in accordance with applicable laws. Any disputes arising out of or in connection with these Terms or your use of RentWise shall first be attempted to be resolved through good-faith negotiation.
If you have a dispute or concern, please contact us at support@rentwiseglobal.com. We are committed to resolving issues fairly and promptly.
If a dispute cannot be resolved through negotiation, it shall be submitted to the applicable courts of competent jurisdiction. Both parties waive the right to a trial by jury where permitted by law.
Changes to These Terms
We may update these Terms of Service from time to time to reflect changes in our services, legal requirements, or business practices. When we make material changes, we will:
- Notify you via email to your registered account address.
- Update the "Effective Date" at the top of this page.
- Provide at least 14 days' advance notice before material changes take effect.
Your continued use of RentWise after any changes take effect constitutes your acceptance of the revised Terms. If you do not agree to the revised Terms, you must stop using the platform and may close your account.
